Welcome to Kingston Collegiate. These Terms and Conditions (“Terms”) govern your use of our website, educational platforms, and related services, as well as our school policies. By accessing or using any Kingston Collegiate digital platform or service, you agree to comply with and be legally bound by these Terms and applicable school facilities. If you do not agree with these Terms, please do not use our website, platforms, or services.

1. Acceptance of Terms

By accessing or using the Kingston Collegiate LMS platform, you agree to comply with these Terms and all related school policies, guidelines, and applicable agreements. Your continued use of the LMS platform confirms your acceptance of these Terms.

2. Kingston Collegiate Code of Conduct

Standards of Behaviors
By enrolling at Kingston Collegiate, students automatically assume the obligation to maintain a certain standard of behavior as stated in Kingston Collegiate's academic policies. Self-discipline and a willingness to accept responsibility for one's actions and conduct are fundamental to the policies.

3. Technology: Acceptable Use Policy

Kingston Collegiate provides information technology resources to support its educational mission and the academic activities of its school community. The use of these resources must always align with the goals and values of Kingston Collegiate. All students are expected to act responsibly and follow the school’s guidelines, policies, and procedures when using technology and electronic networks.

This Acceptable Use Policy outlines appropriate behavior within the Kingston Collegiate Learning Management System (LMS). Users are expected to treat others with respect, avoid unethical or illegal behavior, and understand that all activity within the system may be logged and monitored. The following guidelines explain acceptable use and the possible consequences of misuse.

The Kingston Collegiate LMS is intended strictly for educational purposes.
• Commercial, illegal, inappropriate, or obscene activities are prohibited.
• Students who misuse the LMS may have their access and registration withdrawn.
• Disciplinary action may include further investigation and, where applicable, legal consequences.

Online security requires active participation from all users.
• Protect your username and password and do not share them with anyone.
• Report any emails requesting personal information to the school administration.
• Do not attempt to damage, disrupt, or bypass the security features of the LMS.
• Do not log in anonymously or use another user’s account.

4. User Accounts

To access certain features or content on Kingston Collegiate’s educational platforms, including the LMS, you may be required to register and create an account. You agree to provide accurate, complete, and up-to-date information during the registration process. You are responsible for maintaining the confidentiality of your login details and for all activities carried out through your account. You must notify Kingston Collegiate immediately of any unauthorized access, misuse of your account, or suspected security breach.

5. Intellectual Property Rights

All content available on Kingston Collegiate’s website and educational platforms, including but not limited to text, graphics, logos, images, course materials, software, and other digital resources, is the property of Kingston Collegiate or its licensors and is protected by applicable intellectual property laws. You may not copy, reproduce, distribute, modify, publish, display, or create derivative works from any content without prior written permission from Kingston Collegiate. Unauthorized use of any content may result in violations of copyright, trademark, and other applicable laws.

6. User Responsibilities

You agree to use Kingston Collegiate’s website and educational platforms only for lawful and educational purposes, and in a way that does not infringe upon the rights of others. You agree not to:

  • Use the website or platforms to upload, share, or distribute any content that is unlawful, inappropriate, defamatory, threatening, or harmful.

  • Engage in any activity that disrupts, damages, or interferes with the proper functioning of the website, LMS, or related networks and services.

  • Attempt to gain unauthorized access to any part of the website, educational platforms, other user accounts, or connected systems.

  • Use automated tools, including bots, scraping software, or data-mining systems, to access or collect information from Kingston Collegiate platforms without prior written authorization.

7. Withdrawal from a Course

To withdraw from a course at Kingston Collegiate, students and parents/guardians are required to complete a course withdrawal form.

For Grades 9 and 10 courses, withdrawals will not be recorded on the Ontario Student Transcript (OST).

For Grades 11 and 12 courses, universities require full disclosure of a student’s academic progress. To meet this requirement:

Withdrawals made within 5 days of the issuance of the mid-term report card will not be recorded on the OST.

Withdrawals from a Grade 11 or 12 course made more than 5 days after the issuance of the mid-term report card will result in the course and the achieved mark being recorded on the OST and reflected in the student’s university application.

8. Retaking a Course

Only one credit is earned if a course is repeated however both courses will appear on the student's OST and university application.

In Grade 11 and 12, a "R" appears on the student's OST for the course with the lower mark. Some schools will accept the retaken course mark, others will not. It is important to consult the university's policies on retaking courses before the decision is made.

9. Withdrawing from a Program

When a student withdraws from a program at Kingston Collegiate, a program withdrawal form must be completed and signed by the student and parent/guardian. The completed form must then be submitted to Kingston Collegiate for review and processing. A student is considered officially withdrawn from the program only after Kingston Collegiate has confirmed the withdrawal in writing to the student or parent/guardian.

10. Additional Credit Course Not-for-credit course

If a student takes more courses than outlined in his or her program package, there will be an additional fee per course.

If a student chooses to take a course as not-for-credit, the full course fee applies.

11. Non-completion of a course

Independent students at Kingston Collegiate have 12 months from the date of registration to complete a course. If a course is not completed within this period, it will be recorded as a withdrawal.

If no mid-term report has been issued, the course and mark will not be recorded on the Ontario Student Transcript (OST) and will not appear on the student’s university application.

If a mid-term report has been issued, the course and achieved mark will be recorded on the OST and included in the student’s university application.

12. Substitutions for Compulsory Credit Requirements

To provide flexibility and support individual student needs, the principal at Kingston Collegiate may substitute up to three compulsory credits with courses from other subject areas, as permitted under Ontario Ministry of Education guidelines.

Substitutions are considered to enhance student learning or to address specific needs or interests. Requests for substitutions may be made by a parent/guardian or an adult student (18 years of age or older), or may be initiated by the principal. All decisions are made in consultation with the student, parent/guardian (if applicable), and appropriate school staff.

The following limitations apply to compulsory credit substitutions:

English as a Second Language (ESL) and English Literacy Development (ELD) courses may not be used as substitutions for compulsory credits, although they may count toward the required English credits where permitted.

No more than one learning strategies course from the Guidance and Career Education curriculum may be used as a substitution toward compulsory credit requirements.

All approved substitutions will be clearly noted on the student’s Ontario Student Transcript (OST).

13. Evaluation & Assessment

The primary purpose of assessment and evaluation at Kingston Collegiate is to improve the quality of student learning while supporting personal growth and academic development.

The Ontario curriculum documents for Grades 9–12 outline the knowledge and skills that students are expected to develop and demonstrate through classwork, assignments, tests, and other assessed activities. These curriculum documents are published by the Ontario Ministry of Education and are available through its official website.

Grading Timelines

For Kingston Collegiate students, the following grading timelines apply:

Feedback and marks are provided within these time frames to ensure timely academic support.

Reporting

Kingston Collegiate has two formal reporting periods for each course: midterm and final.

Midterm report cards are issued when students have completed approximately 50% of the course content. Final report cards are issued within 10 business days of the online course teacher receiving the student’s final assessment or exam. A copy of the report card is shared with the student and/or parent/guardian and maintained in the student’s Ontario Student Record (OSR).

Both midterm and final report cards include a percentage grade, teacher comments, and an evaluation of learning skills for each course.

14. Termination

We reserve the right to terminate or suspend your access to the Website, in our sole discretion, without prior notice, if we believe you have violated these Terms or engaged in any conduct that we deem harmful or inappropriate. Upon termination, your right to use the Website will immediately cease, and we may delete or deactivate your account.

15. Governing Law

These Terms are governed by and interpreted in accordance with the laws of the Province of Ontario and the applicable laws of Canada. Any disputes arising from or related to these Terms or the use of Kingston Collegiate’s website or educational platforms shall be subject to the exclusive jurisdiction of the courts of Ontario, Canada.

16. Entire Agreement

These Terms constitute the entire agreement between you and Kingston Collegiate regarding your use of the website and educational platforms, and they supersede any prior agreements or understandings, whether written or oral, relating to the same subject matter. These Terms are governed by and interpreted in accordance with the laws of the Province of Ontario and applicable Canadian laws.
